1) Free Software and/or Account

1.1 Can I use BeamYourScreen for free?
The BeamYourScreen software is a free download for private users. You can simply download the software from our website without even registering for an account. No email address, credit cards, or personal details required.
For commercial use of the software, please visit our shop.

1.2 Do I need to register an account?
No. You can download the software and use the high majority of features without an account. However there are a few benefits when you register an account. Within BeamYourScreen, there are a couple of features that are account-based, and you will need an account in order to use these features. Such account-based features include the “Scheduler” and “Profile Manager”. Registering an account also means you can login to MyAccount to manage your account and access session statistics.

2) Getting Started

2.1 How do I get the session ID?
Session IDs are required by those looking to join a session, and not for those who are hosting a session. When the organizer hosts a session, the session ID is provided to the organizer by the BeamYourScreen software.
If you’re about to join a session and don’t have a session ID, please contact the organizer of the BeamYourScreen session.
If you are the session organizer, you need to download and install the connection program for organizers, click on the B icon, and select “Start Session”. After successfully starting a session, the participant list will appear in the BeamYourScreen interface containing the unique 9-digit session ID.

2.2 What do session participants require in order to join a BeamYourScreen session?
In order to join a session via the connection program you require a computer with Windows XP, Windows 2003, Windows Vista, Windows 2008, or Windows 7 as the operating system or an Intel Mac (not PowerPC) with Mac OS X 10.5.0 or higher as well as an Internet connection.
When joining with the HTML Viewer you only need an Internet connection and a browser (any browser). Cookies need to be activated.

2.3 Do my participants have to install the BeamYourScreen software?
No. Participants never install software. They only download the connection program from the BeamYourScreen website and execute it in a temporary folder. There is no need for them to install the BeamYourScreen software. Alternatively, participants can login to your session using the HTML Viewer. In this case, they do not even have to download the connection program. Instead they simply view your screen live from within their browser.

2.4 A participant or I can’t connect with BeamYourScreen and don’t know why.
In order to provide detailed information for our support team to find the reason and solution, please create a .log file of your attempts to start BeamYourScreen. To do so, please click on Settings in your BeamYourScreen interface and select “Create connection log”. A .log file will then be created the next time you attempt to start a BeamYourScreen session. The .log file will be created and saved in the same folder where BeamYourScreen is saved.
For your participant it might be necessary to save the BeamYourScreen connection program first, run it, exit the login window, and then follow the steps above.
After that please send the .log file with a short description to [email protected]

2.5 When I start a session, my screen immediately begins to replicate itself every few seconds, getting progressively smaller and fitting within the previous screen window. Why is this happening and how do I stop it?
This happens when a user starts a session and then joins from the same computer. This results in a mirror effect as if two mirrors are held infront of each other and you see yourself over and over again. To avoid this effect please share screens between at least two computers, one computer to start a session from and one computer to join this session.

2.6 I have a new computer. How can I install BeamYourscreen on it?
Please go to the download page, select from either the Windows or Mac options, and follow the instructions. Once BeamYourScreen is installed on your computer enter your user details, if you have registered an account, under Account Information. If you wish to use BeamYourScreen without registering an account, simply start a session.

3) Privacy & Security

3.1 Does BeamYourScreen encrypt the transmitted screen data?
Yes. We use 256-bit AES end-to-end encryption to encrypt all screen data transmitted by BeamYourScreen. You will find more information on the BeamYourScreen security in our Security Description.

3.2 Is it possible to password-protect a BeamYourScreen session?
Yes. You can individually set a session password for each session you are planning in the Scheduler. When you plan a session you can enter the password in the field “Session Password”.

3.3 Can the remote control be activated without the participant realizing it?
No. Remote keyboard and mouse control can only be activated upon the explicit approval of the participant. No one can access a PC without the respective user knowing it.

4.1 Is it possible to use BeamYourScreen on a per-use-basis?

4.2 Can I get BeamYourScreen customized with my own logo included?
Yes. You can integrate your own logo with the business license of BeamYourScreen. You have the option to integrate your company logo by logging into the MyAccount section and going to “Features Settings”. Here you can upload your logo to be displayed to your organizers and your participants.

4.3 Where can I get more information about the license types?

5) Technology

5.1 Does BeamYourScreen work through firewalls and proxy servers?
Yes. When you start or join a session, BeamYourScreen establishes one or several secure connections with a BeamYourScreen server. BeamYourScreen employs intelligent tunnelling technology, using ports that are already open in your firewall and proxy server (Port 80 and Port 443). BeamYourScreen works with your existing network configuration. The proxy server information is automatically detected or can be manually specified in the software settings. If you have a personal firewall installed on your PC, you might be asked to allow the BeamYourScreen software to connect to a BeamYourScreen server.

5.2 Which ports does BeamYourScreen use?
BeamYourScreen uses port 443 (SSL) and port 80 (http). Since those ports are open by default in most cases, you do not need to change the settings of your network and/or firewall.

5.3 What does “integration of the session login into my corporate website” mean?
With the integration of the session login into your corporate website, your session participant can join your BeamYourScreen session from your own website. As a result your participants do not have to visit the BeamYourScreen website. If you wish to integrate the session login into your website, you can download a small piece of HTML code free of charge. Please refer to the “Session Login Integration Guide” on our Documents page. Integrating the session login into your website takes a matter of minutes.

5.4 What are the hardware and software requirements in order to use BeamYourScreen?
You need a computer with a Windows™ operating system and an Internet connection. Your computer must have Microsoft Windows™ XP, 2003, 2008, Windows7 or Vista. You can also use BeamYourScreen on a Intel Mac computer (not PowerPC) with Mac OS X 10.5.0 or higher. For optimal performance the minimum system requirements are Pentium 500 MHz CPU and 128MB RAM. Apart from this there are no further systems requirements.

5.5 What is the HTML Viewer and what are its advantages?
The HTML Viewer is an advanced and alternative connection method for your guests. With the standard login, your participants have to download a small connection program (with no installation). However when using the HTML Viewer there are no downloads required. Rather, your participants are able to see your screen simply as a website from within their Internet browser. This means participants can join from any Internet browser including browsers on mobile devices, such as smartphones. The HTML Viewer has been developed specifically for online presentations and optimized for this use case. Please note that the HTML Viewer does not support all available BeamYourScreen features such as change of presenter and remote control. To join a session via the HTML viewer, ask your guests to go to http://www.123beam.info.

6) Using BeamYourScreen

6.1 What can I do in MyAccount?
In the MyAccount section of the website, you find your session statistics, you can change your password, edit your contact information and activate a license key.
Furthermore, you have the option “Feature Settings”, which gives you the possibility to integrate your company logo, add a welcome screen or use your own waiting room image for the waiting lounge of the scheduler.

6.2 I have forgotten my password. What can I do?
If you forgot your password but you still know your username please click here to retrieve your password. If you forgot both your password and your username, please check your Account Information in the BeamYourScreen software, your username is saved there. If you can’t find your username send us an email to [email protected] or give us a call.

6.3 How can I change my password?
Log on to MyAccount with your username and your password. Click “Change Passwords” in the menu and enter your old password once and confirm the new password twice. Do not forget to save your changes before you exit MyAccount.

6.4 The B icon is hidden in my taskbar, what can I do?
Windows XP often tries to hide icons. If you run Windows XP, make sure the B icon stays visible by doing the following. Run the BeamYourScreen software, then right-click a blank spot on the Windows Taskbar and choose Properties. The Taskbar and Start Menu Properties dialog box opens. Click Customize in the lower right corner, which opens another window. Locate the line with the B icon, click its entry in the Behaviour column, choose “Always” show and click OK.

6.5 Where can I find the BeamYourScreen session recordings?
BeamYourScreen session recordings are stored by default in My Documents\BeamYourScreen\Records. Of course you can change the default location by opening the BeamYourScreen interface, clicking on Settings, and then change the location under “Saved Recording Location”.

6.6 I receive the message: “Cannot start session. Authentication failed (incorrect username or password).”
Please enter your username and organizer password again in the BeamYourScreen software under “Account Information”. Both username and password are case sensitive. If you copy the username or password make sure you don’t copy any blank spaces. If you still encounter difficulties starting a session please reset your password.

6.7 How do I install BeamYourScreen on my PC?
Please download the BeamYourScreen software for organizers from our Download section.

6.8 I cannot start a session. The firewall on my computer might be blocking BeamYourScreen.
If you are unable to start or join sessions, a personal firewall might be blocking BeamYourScreen. We prepared guidelines for several personal firewall products that explain how you can allow BeamYourScreen to connect to the Internet. To gain further information on how to add BeamYourScreen to your personal firewall please go to Firewalls and select the firewall you are using.

6.9 Can I use BeamYourScreen on a Mac?
Yes. You can download BeamYourScreen for a Mac computer on an Intel Mac (not PowerPC) with Mac OS X 10.5.0 or higher.

6.10 When a participant joins a session from a Mac computer, I cannot switch presenter or hand over remote control. How can that be fixed?
If this occurs, it is because the participant on the Mac has joined the session through the HTML Viewer. The participant can join in two ways – through the Mac application (a .dmg file), or via the pure presentation mode, known as the HTML Viewer. When the participant visits the www.123beam.com page to join the session, they can choose their preferred way of joining. If the participant clicks on the blue download button then it is possible to switch presenter and enable remote control during the session. On the other hand, when the participant enters the session ID along with their name and clicks the “Join Session” button on the login page, they will join the session via the HTML Viewer and therefore Switch Presenter and Remote Control will not be possible.

6.11 BeamYourScreen always runs automatically, when I switch on my computer. How can I change this?
BeamYourScreen usually starts when your computer starts up. You can change this by opening the BeamYourScreen Settings (when there is no session currently running), and uncheck the option “Start program at computer startup”.

6.12 During a session my participants get a message when another participant has logged into the session. Can that be changed?
There are two possibilities to hide the participant list from other participants. One is that you go to Settings and Features once you have started a session and disable the “Participant List” feature.
As an alternative you can create a profile where this feature is hidden by default. Please have a look in our user manual on how to create profiles.

6.13 The B icon in my system tray has disappeared. But when I click on the B icon on my desktop or the B icon next to the Start button it says “BeamYourScreen is already started. Please click on the icon in the system tray to start a session.” How can that be fixed?
You need to click on the B icon in your system tray – note, that the system tray is the small area next to your computer’s clock. By default, this area is in the bottom right-hand corner of your screen.
Sometimes the system tray “swallows” icons (not only BeamYourScreen, also others). In order to get it back again you first need to open the task manager (Press Ctrl+Alt+Del or right-click on an empty spot next to the clock on your screen). When you have the task manager open, click on the Processes tab. Then end the BeamYourScreen-Host process. Then you can start BeamYourScreen again and the icon will re-appear in your system tray.

6.14 How do I uninstall BeamYourScreen? What can I do if the regular uninstall process is not working?
If the regular uninstall process is not working please right-click on the BeamYourScreen shortcut on your desktop and select properties. Here you will find the file location. Please navigate to the named file location, start the remover.exe (or uninstall.exe), and this will uninstall BeamYourScreen completely.

6.15 The connection or screen transmission is very slow. What could be the reason and what can I do?
Perhaps this is related to the speed of your Internet connection. To test the available bandwidth, please go to www.speedtest.net. You will see a map – please click on the yellow star in the centre of the map. Your transfer rate will then be determined. Note that this may take a moment. Following the test, the available bandwidth (Up- and Download speed) will be shown. We suggest an upload of 1 MB/s to ensure a smooth and fast transmission.

6.16 I try to show a PowerPoint presentation in full screen mode to my participants but the presentation does not appear on the participants’ screen. What is the reason and how can this be solved?
When a PowerPoint presentation is started and you don’t show new applications then the full screen presentation is hidden when the full screen mode is started. To show your presentation in full screen mode, you need to show “new applications” as the full screen mode is handled as a separate application by Microsoft Windows. To do this, open the BeamYourScreen interface when a session is running, then open Application Selection, and then check the box “New Applications”.

6.17 When I try to show a movie all my participants see is a black spot on their screen, how can I avoid that?
This phenomenon is related to the hardware acceleration of your PC, to avoid the issue please turn off the hardware acceleration. To do so, please right-click on an empty spot on your desktop, then select Properties, and after that the Tab settings. At this point, please click the Advanced button, select the Troubleshoot tab and adjust the hardware acceleration to None.

6.18 When I present my screen my mouse is blinking and it’s hard to control my movements. How can I prevent that?
This phenomenon is related to the hardware acceleration of your PC, to avoid the issue please turn off the hardware acceleration. To do so, please right-click on an empty spot on your desktop, then select Properties, and after that the Tab settings. At this point, please click the Advanced button, select the Troubleshoot tab and adjust the hardware acceleration to None.

6.19 I have customers I connect with very often. Is there a way they don’t need to go to my website and enter all the details all the time?
Your participants can save the BeamYourScreen connection program for participants on their desktop, so they don’t need to download it every time from the website. They can download it by clicking here. To join your session, your participants double-click on the B-icon on their desktop, click “Run” and enter the session ID.

6.20 I integrated the BeamYourScreen session login on my website but some participants can’t join properly, especially when the HTML Viewer is used. Why is that happening?
It’s likely that your website uses frames which cause problems with Internet Explorer. Please integrate the code in a webpage without frames or have the session login page open in a new window.

6.21 My participant is unable to join my session, the following message appears: “Your proxy or Internet access is password-protected. Please enter the name and password that you use to connect to the Internet or log in to Windows”. What caused the issue and is there a workaround?
Your participant has an “authenticated proxy server”. They are probably in a corporate network and their Internet access is regulated. In order to access the Internet, they have to enter a username and password. In many cases, they will be able to enter their Windows username and password to authenticate. BeamYourScreen supports authenticated proxy servers, but the username and password have to be entered by the participant in order to connect.
